De-Mail
E-Government Police Steinfurt
In accordance with the law on the promotion of electronic administration in North Rhine-Westphalia (E-Government Act - EGovG -), the Steinfurt Police Department offers access for the electronic transmission of documents.
The Steinfurt police have opened this access under the following conditions:

Opening access for electronic communication via De-Mail

The De-Mail address poststelle [at] polizei-steinfurt-nrw.de-mail.de (poststelle[at]polizei-steinfurt-nrw[dot]de-mail[dot]de) has been set up for electronic communication with the Steinfurt police via De-Mail. The transmission of De-Mails is possible for both informal and formal correspondence.

If the written form is required by law for certain letters, a handwritten signature would generally be necessary on your part. We have opened access for e-mails that require the written form. This replaces your handwritten signature. For the legally binding electronic sending of documents requiring written form, please use the De-Mail sending option in accordance with Section 5 (5) of the De-Mail Act. The legal requirement is met if the "sender confirmed" sending option was selected when sending the De-Mail.

If you send us a De-Mail, we will assume that you also wish to receive a reply to this matter by De-Mail.

If you close your De-Mail inbox again, please let us know so that we can stop communicating with you by De-Mail.

Further information on De-Mail can be found on the BSI website.

Opening access for encrypted electronic communication

The Steinfurt police offer an encryption procedure for electronic communication with the e-mail address poststelle.steinfurt [at] polizei.nrw.de. The public key (certificate) is provided here.

Encrypted communication with an organizational unit of the Steinfurt police or directly with individual persons within the authority is not permitted.

If the Steinfurt police respond to an encrypted email electronically, this will also be done electronically, provided the Steinfurt police are technically and organizationally capable of doing so. Otherwise, the response will be sent by another suitable means.

Opening access for documents that are provided with a qualified electronic signature

The Steinfurt police will open access for the transmission of documents by electronic means at the e-mail address poststelle [at] polizei-steinfurt.sec.nrw.de (poststelle[at]polizei-steinfurt[dot]sec[dot]nrw[dot]de), even if they are provided with a qualified electronic signature.

Note that the Steinfurt police are currently unable to respond with qualified electronically signed documents. If documents with a qualified electronic signature are not sent by the sender opening a De-Mail account, the reply will be sent by post. To enable us to reply to your message in writing, please include your postal address in your message.

Further information on qualified electronic signatures can be found on the website of the Federal Network Agency.

File attachments

If file attachments are sent to Steinfurt Police, please note that not all common file formats and applications on the market are supported.

The following common file formats are currently supported:

For documents

- PDF (Portable Document Format)

For images

- JPEG (JPEG File Interchange Format (JFIF))

- PNG (Portable Network Graphics)

- TIFF (Tagged Image File Format).

IT security

The transmission of electronic documents to an authority is not permitted if the electronic documents cannot be checked for IT security using automated procedures in the access system. § Section 3a (3) VwVfG NRW applies accordingly.

Virus protection

If your electronic message or file attachments are detected as infected by virus protection programs, they cannot be accepted. You will then receive a notification that your message could not be accepted.

Encrypted or executable files

Files that are encrypted with a password or files that are themselves executable or contain executable components (for example with the file extensions *.exe and *.bat and Office files with macros) are not accepted

File size

The total size of an e-mail/de-mail, including all attachments, even if the documents have a qualified electronic signature or are encrypted, is limited to 20 megabytes (MB). If the permitted file size is exceeded, the De-Mail will not be accepted. You will then receive a notification that your message could not be accepted.

Maintaining the written form for replies

Not all inquiries are answered electronically due to technical and organizational constraints. To ensure that we can reply to your message in writing, please include your postal address in your message.

Closing the De-Mail mailbox

If you close your De-Mail mailbox again, please let us know so that we can stop communicating with you via De-Mail.
